Gmail is a great tool for managing your email, but it can be time-consuming to respond to common questions with the same answers over and over again. That’s where templates come in. With Gmail, you can create email templates to save time on responding to common questions with some common answers.
To get started, log into your Gmail and go to Settings > See all settings. In the Advanced tab, make sure that “Templates” is enabled. Once that’s done, you can create your template emails by composing a new email. Take out your signature as we want to create the template without the signature.
Start by writing your subject line. This will become the subject line for the template email and the name of the saved template. Make it something memorable for you and your customers. Then, write your template. Once you’ve created your template email, click on the More options icon at the bottom and select Templates > Save draft as template > Save as new template.
To use your template, go to Compose and select who you want to send it to. You don’t need to fill out the subject line because when you go to Templates > Insert Template, it will fill out the subject line for you. Select the template you want to use, and it will be inserted into the email. Then, all you need to do is select your recipient and send.
What if you want to edit your template? No problem. Open up the email again and make your changes. Take out your signature again before you save it. To overwrite an existing template, go to More options > Templates > Save draft as template > Overwrite template.
You can also use templates when replying to people, and it will fill out everything just as it does with a new message, except that it will keep the subject line of your existing thread. You can even add it somewhere in the middle of an email, and it will leave your existing content in there and just add the template in.
Finally, what if you want to delete a template? Go to Templates > Delete template and select the one you want to delete. You can do this at any time, and you don’t need to have the template open.
In conclusion, email templates are a great way to save time and keep your responses organized. With Gmail, it’s easy to create, edit, and delete templates for quick responses.
